Document editor

The document editor differs from the eSign editor.

The eSign editor is for completed documents that are ready for approvals and eSignatures and does not allow textual or structural editing of the documents.

The document editor, on the other hand, has native editing functionalities similar to Google Docs or MS Word.

The document editor has two main areas of action: the toolbar at the top and the control panel on the right.

Document editor: Toolbar

The toolbar is exactly the same as the toolbar in MS Word or Google Docs, giving you the ability to format your content, insert images and tables, edit the page layout, and more.

Home: This tab includes different text formatting options: font type, size, style, colors, highlights, indentation, line height, and more. documents

Insert: Use this tab to insert page breaks, tables, images, links, headers, footers, page numbers, and more. documents

Page layout: Change margins, set page size and orientation, display content in two or three columns, and introduce page, section, and column breaks. documents

References: Add references for your document, including table of contents, captions for images or tables, table of equations or table of tables, and more. documents

View: Use this tab to change your view of the document from a simple, full-width view to a print view and to display or hide the horizontal ruler. documents

Document editor: Control panel

The control panel hosts all the features you need to get your document approved and concluded.

Click on the arrow on the top right of your document editor to expand the control panel.

Document settings: Only visible to owners, this feature lets you set security and privacy controls to ensure your document’s confidentiality is maintained. Learn more about document settings.

Add or manage collaborators: Click on this feature to add and manage the collaborators on your document. Learn more about adding collaborators

Chat with collaborators: This is contextual chat on the document, distinct from the platform-wide chat available in the header. Once you add collaborators to your document, you can chat with them together or one-on-one. Learn more about chatting on documents.

Comments: View all comments added by collaborators in this panel. Respond or resolve in one click. Learn more about comments on documents.

Approvals: Set an approval workflow for the document. This workflow will be initiated when you click on Conclude document. Learn more about approvals.

Attachments: Add supporting documents as attachments to your document. Learn more about adding attachments.

Audit trail: A complete record of all important actions on your document. Learn more about the audit trail.

Document properties: A summarized view of all important details about the document, including the owner’s name, added collaborators, date of last activity, etc. Learn more about document properties.

Actions within the document

At the bottom of the control panel are three action buttons:

Release document

Click on this button to give edit access to any collaborator. documents

On DocuX, only one person can edit the document at a time—this ensures clean and strong versioning. Once you release the document to another collaborator, you cannot edit the document until the collaborator releases the document back to you after editing or you recall the document from your Pending for others tab. documents

Conclude document

This will initiate the approval workflow, if any, or directly conclude the document, thus locking it against further changes. documents

If a concluded document is reopened for editing, all added collaborators and approvers are notified. documents

Prepare for eSign

You can only prepare concluded documents for eSign. In documents that have not been concluded yet, this button will be disabled. documents

Clicking on Prepare for eSign will open up the document in the eSign editor where you can add eSigners and eSignature fields. Learn more about the eSign editor.
